Organising a retirement send-off: the complete guide (format, budget, speech, venue) for a colleague
Key points in 30 seconds
Start about six weeks ahead, check what the retiree wants, then pick a format (office drinks, team lunch, afterwork or private hire) based on headcount and budget. Funding often combines an employer or works council contribution with a collection for the gift. Keep the speech to three to five minutes and choose an accessible venue with parking that fits an after-work schedule.
A retirement is not just another office drink: it honours a whole career.
The challenge is to mark the moment without embarrassing the retiree. This guide is a toolbox for the colleague, manager or HR lead in charge.
Timeline
Who organises and when to start?
HR, the line manager and one or two close colleagues make the best team, with a single lead.
- W-6
Ask the retiree
Check their wishes and pick a date in their last week.
- W-5
Choose and book
Set the format, budget and headcount, then book the venue.
- D-day
Enjoy
Arrive early, set up the gift and guestbook, keep an eye on time.
Surprise or not?
Announce the date, but keep the details (gift, former colleagues, slideshow) as a surprise.
Formats
Which format to choose?
It depends on team size, the retiree's personality and when the team is available.
Office drinks: simple but impersonal
Quick to set up, but it still feels like work.
Team lunch at a restaurant
Fits the lunch break; nobody has to stay late.
Afterwork: bar counter, terrace, finger food
Festive and easy for former colleagues to drop by.
Private hire for a large department (50-200)
A space of your own; needs more planning.
Comparison: format × guests × budget level
| Format | Guests | Timing | Budget / pers. | Best for |
|---|---|---|---|---|
| Office drinks | 10-40 | Late morning or afternoon | € | Small team |
| Team lunch | 8-40 | Weekday lunch | €€ | Close-knit team |
| Private hire | 50-200 | Evening or private event | €€ to €€€ | Large department |
Relative budget per person (€ = modest, €€ = mid, €€€ = higher). Always ask the venue for a quote.

Funding
Budget: who pays?
Often the employer or works council funds the event, while colleagues chip in for the gift.
The party is the company saying thank you; the gift is the team saying goodbye.
Employer
Ask HR for written approval before booking.
Works council
May fund a gift or the event; contact it early.
Online collection
Free amounts, individual contributions kept private.
Who pays what
Say clearly what is covered. The retiree never pays.
Guest list
Current and former colleagues, family: managing the list
Start with the obvious circle, then ask the retiree who truly matters.
Inviting family adds emotion but calls for a more comfortable format.
Keep a shared sheet and set a reply deadline ten days before.

Gift ideas
The farewell gift: ideas by collection size
The best gift looks to the future, not the office.
A trip
A flexible voucher towards a planned getaway.
An experience
A cooking class, wine tasting or show subscription.
The guestbook
Handwritten messages and photos, often the most re-read gift.

Speaking
The speech: a 5-part structure
Three to five minutes, about one page.
1. The hook
An anecdote or a smile.
2. The career
Three or four milestones.
3. The toast
A word about what's next, then raise a glass.
Gentle humour is welcome; avoid age, health, old conflicts and inside jokes.
Two opening examples
"In thirty-two years, Michel never missed a Monday meeting. Today, for once, he has an excellent excuse."
"Fifteen years on, Christine is still the only one who can fix the photocopier."

Extra touch
Little extras that make the difference
Pick one or two and do them well.
Slideshow
Five minutes max, looping during drinks.
Guestbook
Ask for an anecdote, not just "happy retirement".
Playlist
Songs from their hiring year, played softly.
The venue
Choosing the venue: what matters
Leaving the office changes everything, provided the venue ticks a few boxes.
Access and parking
Guests come from across the area.
Flexible space
From a long table to standing format.
Compatible hours
Open when the team is free.

Use case: a retirement in the Vitrolles / Marignane / airport area
At 4 chemin des gorges de Cabrières in Vitrolles, Le Millésime offers direct access via the A7, A55 and D9, nearby parking and a 120-seat terrace.
Lunch is served 12pm-3pm on weekdays, and weekday evenings run until 8pm for an afterwork on the terrace in Vitrolles. On Fridays, dinner is served 6pm-11pm.
For a large department you can privately hire a room or the terrace; a weekend opening may be considered for a private event. Guests from afar can check our guide to the restaurant near Marseille-Provence Airport.

FAQ
Your questions about retirement send-offs
Must the employer organise a retirement party?
No, it is a custom, not a legal obligation under French labour law.
Can alcohol be served?
At the workplace, article R4228-20 of the French Labour Code only allows wine, beer, cider and perry, and internal rules may restrict them. Always provide alcohol-free drinks and a safe way home.
How much to put in the collection?
There is no reference amount; contributions stay free and private.
What if the retiree wants no party?
Respect it and suggest something small, like a lunch with close colleagues.
During or outside working hours?
The employer decides; after-hours events are voluntary.
How far ahead should I book a restaurant?
Three to four weeks for about twenty people, five to six for private hire.
